Department Secretary - 0.5 working time
Your responsibility
The position may be temporarily increased if sufficient funds are available.
- Independent management and organisation of the department´s secretariat
- Support for the department head in general administrative tasks, e.g. handling personnel matters and providing administrative support for staff and students
- Independent coordination and processing of procurement and invoicing
- Support and administration teaching activities, student services and exam scheduling
- Management of personnel, travel, material and third-party funds
- Assistance in organizing business trips, conferences and meetings held within the department
- Support for international guest researchers, including guidance in adapting to a new academic environment
- Correspondence in both English and German
Your profile
- Successfully completed training as an administrative specialist or equivalent qualifications and experience in administration, finance and human resources
- Experience with digital financial management tools and reporting systems
- Excellent proven proficiency in German and English, both written and spoken
- Confident use of MS Office programs (Word, Excel and Outlook)
- Familiarity with funding conditions, approval principles and accounting procedures of funding organizations (e.g. DFG, EU, Senate Administration, Federal Ministry, etc.)
- Teamwork, service-oriented mindset and willingness to acquire new skills and knowledge (desirable)
- Strong organisational and coordination skills (desirable)
- Experience managing deadlines and unexpected challenges (desirable)
- Ability to prioritize and stay organized under pressure (desirable)
- Familiarity with the working culture of experimentally driven scientific research (desirable)
- Openness to working with colleagues from diverse ethnic and cultural backgrounds (desirable)
