Your responsibility
- Administration of third-party funded projects, e.g. during the application phase, financial processing of approved projects, procurement of material and investment resources
- Documentation and reporting: Collection, evaluation and preparation of project-related data for controlling and documentation
- Foreign language activities: writing in a foreign language (English), dealing with correspondence, and preparing simple translations from or into this language. Editing of expertise, reports, etc.; support for foreign students, guests, employees, and delegations; assistance with entry and residence formalities, insurance, accommodation, etc.
- Administrative assistance with the organization of teaching in the department (courses, theses)
- Secretarial tasks: Scheduling, guest support, mail processing; materials management; maintenance and design of the website; organization of events, workshops, colloquia etc. incl. financial calculation and invoicing
- Independent correspondence for matters relating to the Chair, answering enquiries
- Processing personnel matters for the department
Your profile
- completed training as a foreign language secretary, administrative assistant or clerk for office communication or other employees with equivalent skills and experience in the areas of administration, finance and human resources
- Previous experience in the field of university administration
- Knowledge in the area of third-party funding management
- secure knowledge of SAP PC application software - experience with TU-based platforms and applications embedded in SAP is welcome: Reporting, examination administration, Moses, ISIS
- as well as knowledge of other programmes such as Excel, Word, PowerPoint etc.
- Willingness and ability to familiarise yourself quickly with new software
- profound knowledge of English and German, confident in correspondence and communication
- Ability to work in a structured manner, organisational and coordination skills, knowledge of TUB committee structures and project partners is desirable
- profound knowledge of public procurement regulations as well as budgetary law, personnel law, staff representation law, the German Disability Discrimination Act, travel expenses law is desirable
- Knowledge of the Internet and the relevant search engines is desirable
